1. Procedure for Bookings, Confirmations, and Payments
Upon receiving a travel service enquiry, Lebinova Africa Travel will prepare a custom itinerary and quote based on the client’s specified preferences and travel dates. All provisional bookings for accommodation, tours, and transfers will be made on behalf of the client to ensure availability. These provisional bookings can typically be held for up to 10 working days, providing the client enough time to decide. If needed, we will request an extension from suppliers, though this is not guaranteed. Once you accept our proposal, we will issue a pro forma invoice. A non-refundable 30% deposit is required to confirm all bookings. No bookings are guaranteed until this deposit is received. Bookings not confirmed within the 10-day window may be automatically released due to high demand or supplier policies.The remaining 70% balance is due 30 days before the travel date. If a booking is made within 45 days of travel, full payment is required immediately. All bank charges (both local and international) are the responsibility of the client.
2. Travel Agreement
This travel agreement is between the client (traveler or booking party) and Lebinova Africa Travel (Pty) Ltd, a South African-registered travel company. The agreement is binding once the client confirms a quotation in writing and/or makes a deposit payment. A “client” may be an individual, group leader, or third-party agent acting on behalf of others.
3. Deposits & Payments
A 30% non-refundable deposit is required upon confirmation of the booking.70% balance due 45 days before travel commencement.
Late bookings (within 45 days of departure) require 100% immediate payment.
All fees are payable in ZAR (South African Rand) unless otherwise specified.
4. Cancellation Policy – All cancellations must be made in writing. The following charges apply:

45+ days before departure: 30% (deposit forfeited)

31 - 45 days before departure: 50%

16 - 30 days before departure 75%

15 days or less before departure: 100%
No-shows, early departures, or unused services: No refund
Clients are advised to secure comprehensive travel insurance, which includes cancellation coverage.
5. Changes & Delays
By Lebinova: We reserve the right to amend itineraries due to unforeseen circumstances such as weather, political unrest, supplier availability, or safety concerns. Alternatives will be offered where possible, but no liability is accepted for delays or changes beyond our control.
By the Client: Change requests may result in additional charges and are subject to availability. These must be done in writing.
6. Travel Insurance (Mandatory) - All clients must have comprehensive travel insurance covering; Proof of insurance may be requested before travel:
Cancellation or curtailment
Medical emergencies
Personal accidents
Lost baggage
Evacuation and repatriation
7. Disclaimer & Liability
Lebinova Africa Travel acts only as an agent for accommodation providers, transport operators, and other third-party suppliers. While we carefully select our partners, we do not accept liability for:

Losses, damages, injury, or death

Delay or non-performance by third-party suppliers

Force majeure events (e.g., natural disasters, political instability)
Clients agree to travel at their own risk and to comply with local laws, customs, and the guidance of their tour guide. Clients waive any claims against Lebinova Africa Travel and its agents and indemnify the company from any related liability.
8. Passports, Visas & Health
Clients must ensure they hold valid passports, visas, and vaccinations for all countries to be visited.
Lebinova Africa Travel will provide guidance but is not responsible for denied entry or fines due to invalid documents or non-compliance.
Malaria areas may be visited – clients should seek medical advice before travel.
9. Emergency Support - Lebinova Africa Travel offers 24/7 emergency support during your trip. We will assist with medical referrals, embassy contact, and rebooking assistance where applicable. However, we do not cover costs for medical services, emergency evacuations, or missed connections unless covered by the client’s insurance.
10. Privacy Policy - We collect personal information (name, contact, passport details, travel preferences) solely for booking purposes. Your data will not be shared with third parties unrelated to your travel arrangements. We respect and uphold South Africa’s Protection of Personal Information Act (POPIA) and all relevant data protection regulations. We may contact you post-trip for feedback or promotions unless you opt out.
11. Payment Policy - Payments can be made via:
Bank Transfer (SWIFT/WIRE) – Details provided on invoice.
Credit Card (Visa/MasterCard only) – Subject to 2% handling fee.
All payments must be cleared before travel. Proof of payment must be emailed to info@lebinovaafricatravel.com.
All prices quoted are subject to availability and may change due to exchange rate fluctuations or supplier pricing changes prior to full payment being received.
12. Jurisdiction
All legal matters arising from bookings with Lebinova Africa Travel shall be governed by the laws of the Republic of South Africa, and any disputes shall be subject to the jurisdiction of the courts of South Africa.
